Patients & the clinical record

The record is structured data — things that can be searched, summed and linked to each other — not free-text notes nobody can find again.

Patient card

Demographics including the Greek social-security number (ΑΜΚΑ), search by name or phone, and sections that open without losing your place. The top of the card gathers the structured medical history that has been entered.

Structured medical history

Medical and dental history and allergies are recorded as structured fields, not as one free-text box. That way the summary at the top of the card follows from the fields themselves, without anyone having to compose it separately.

Patient family

Parent, child, spouse or sibling links; suggested relatives from a shared phone number or father’s name; a separate contact person and payer; and a combined family balance.

An interactive tooth map (FDI) with charting per tooth and per surface. Structured data, searchable and linked to treatment and cost — not a drawing nobody can query. No computed indices and no diagnosis.

The source of truth for every performed procedure: price, date, dentist, arch (upper, lower or both). What goes in here is what gets charged and what gets measured.

The calendar is one part. The other is everything hanging around it: who asked to move, who did not show, who is waiting for a cancellation, who called and got no answer.

Every appointment knows where it happens, every patient has a home practice, the statistics split per practice, and the receipt is issued at the right establishment. Opening a second practice does not mean a second system.

Each dentist switches their own sync on from their account, copies a link and pastes it once into the calendar they already look at. From then on their own appointments — across every practice — show up there and keep themselves up to date. The flow goes one way: from Odontia into your calendar. The form changes with the practice

It is not one form for everybody. A general dental practice and an orthodontic practice see different questions, because they do not need the same ones. The practice’s mode decides — declared once and true everywhere; not a setting somebody fills in per form.

Orthodontic intake form

In orthodontic mode the form asks the seven things an orthodontist asks: which dentist or paediatric dentist referred the patient, injuries to the jaws and teeth, grinding or clenching, surgery to the face or jaws, allergies, medication, other medical problems. The general practice’s long condition checklist, smoking, alcohol and the insurance fields are not shown. Built and deployed to production; no patient has filled one in yet.

When a parent fills it in for a child

Parent or guardian details, with a separate person to contact — and the whole document changes voice: the notices and the declaration speak about the patient and about the parent, rather than about the signer as if they were the patient.

Self-booking

Instead of telephone ping-pong, you send a link with specific times you chose; the patient taps one and the appointment is booked, with protection against double-booking.

Each practice with its own hours, so the calendar and online booking never offer a closed slot.

Three things most programs blur together: what is owed, what was collected, and what has been issued as a tax document. In Odontia they are three independent columns that do not pretend to be each other.

Correct a wrong document with a credit note (myDATA type 11.4), in the Greek wording and the series the accountant specified. In use at the founder’s practice, with the series each practice’s accountant specifies.

A payment request by SMS, email or a QR code off your screen, a public payment page that lives seven days, and the balance updating itself. The request shows on the card from the moment it goes out, not when it is paid; the payment is recorded only once the provider itself confirms it.

Reminders with a confirm or cancel button, a confirmation as soon as an appointment is booked, no-show follow-up, a post-op check-in and waiting-list alerts — on rules you set, in wording you write. The check-up recall is not on this list: it does not go out automatically.

Patient lists — and the recall

You name a list and put patients on it one at a time, by hand, with a note against each. Every member shows when they were last treated, with 6-month, 1-, 2- and 3-year filters. You write the message and save it on the list, and you send it. There is no bulk add, no saved filter and no automatic recall.

Before the send: who will receive it, by name; who will not, and the reason for each; and what it costs. You can read it without sending anything.

Email is a full channel

The owner sets the channel order. If the SMS provably did not go — wrong number, provider refusal — the same message is tried by email. An unknown outcome is not a failure and does not trigger a second send.

Orthodontic mode

An orthodontic practice does not work like a general one. So Odontia has a switch: in orthodontic mode the odontogram, treatment plans, cases and implants leave the screen, and in their place comes an orthodontic catalog organised by treatment stage, with aligner brands and headgear types.

This is not “hiding menus”. It is a different vocabulary for a different job, and it is worked every day in a real orthodontic practice.

The switch reaches all the way to the front door: the public intake form asks orthodontic questions — the seven an orthodontist asks, rather than a general practice’s condition checklist.
